  • How do I prepare my device for a study?
    To prepare your mobile/tablet device for tours: Turn on automatic updates in the settings menu on your device(s). This way the app will update automatically when new releases are published. It is also a best practice to check for any available updates in the app store before each tour. If you can connect to a network connection or wifi on site of the study tour, there is no need to proceed with the paragraph below as the app will automatically sync every 10 minutes when connected to wifi.Few readers
  • Carrying out observations and what to do if an observation point does not exist as noted on the floorplan in the Vantage Space mobile app
    Due to the simplicity of the iPad app, the process of conducting tours and inputting observations is a breeze! After signing into the iPad app, your floor plan will be displayed featuring all the workspaces that have been set up and assigned to the observer's account. Simply select the yellow circles that represent a workspace that needs to be observed.   • What do each of the status options mean?
    Terms used in Vantage Space for observers conducting Space Utilisation Studies: Occupied: The workspace has people present. Signs of life: The workspace has evidence that people are working there (workstation powered on, coat on chair, etc) Unoccupied: The workspace is usable/assigned but nobody is present/using it.   • How do I decide if a workspace is "Occupied"?
    A workspace is "Occupied" if someone is occupying the space at the time of observation whether they are sitting or standing. See below for an example of "Occupied":Few readers
  • How do I decide if a workspace is "Signs of Life"?
    A workspace is to be described as "Signs of Life" if there are any visual cues that someone is currently using a given workspace but they are not currently present. For example, there may be either or a combination of the following: A jacket on the chair, a handbag or bag next to the desk, a laptop open on the desk. See below an example scenario:Few readers
  • How do I decide if a workspace is "Unoccupied"?
    A workspace is to be marked as "Unoccupied" if the workspace appears to have no occupants or allocation.  For example, there may be either nothing on the desk what so ever or in some cases, the desk may be prepared for use but no one has been assigned to the desk.   • How do I decide if a workspace is "Unusable"?
    A workspace is to be described as "Unusable" if there are any visual cues that a given workspace is not fit for its purpose. For example, there may be an obstruction blocking the entrance to the booth/ workspace or a damaged desk or chair.   • What do I do if an observation cannot be carried out?
    For whatever the reason or circumstance, sometimes one cannot complete an observation. For example, the observation point is inaccessible for some reason. It is possible to amend the results. However, you must make sure that the observer can manually collect data. Then contact us at the earliest time of convenience to you or the observers so we can input the data for you.Few readers
  • FAQ: In the situation where I cannot observe the number of people or technologies used in a private meeting room, how can I record it?
    Different companies do different things. Some can mark it as “unobservable”. Some ask people to hang their badges outside, so the badges can be counted. (Management sends a memo first.)   • FAQ: What should I do if the app says "Timezone mismatch"?
    This error message will appear if your iPad is set to use a different timezone than the timezone for the study. To make sure that the times and dates of observations are correct, your iPad must use the same timezone as the timezone that the manager has set for the workplace study. Check the settings for your iPad. If your iPad is using the correct timezone for your location, contact the survey manager.   • FAQ: What if the office staff become nervous or anxious by the activities of the utilisation studies and/or observers?
    Sometimes staff can pushback on utilization studiess and observation tours.  It is a best practice to preemptively reassure staff members that the studies are not to monitor their performance but rather it is to note how the office space is being used throughout the day. And furthermore, to gain empirical evidence to support cases for improvements to the office.   • FAQ: Can study tours be conducted offline, then synced once online?
    The iPad/Android can be offline whilst tours are being conducted. You do not need to manually sync as it will automatically do so after a network connection is established.Few readers
  • FAQ: Is it possible to record the number of people in the room during the observation?
    Observers can simply tap on a given workspace on the iPad app to add a note, incident or comment. These are then listed in the web app (https://my.vantagespace.com) under the "Occupancy Overview" drop down menu near the top of the Dashboard page.Few readers
  • FAQ: How many workspaces per hour can be observed using Vantage Space?
    Vantage Space users record data for occupancy and activities and the use of technologies at a rate of 10 workspaces per minute on average - or a rate of 600 workspaces per hour (with the latest version of the app).️ When recording observation data for occupancy only, this number increases to an average of 810 workspaces per hour! For bigger studies and/or first time observers, add some extra time for them to walk across multiple floors, deal with closed offices, and for getting useFew readers
  • When do I select "Finish Tour" in the mobile app?
    One tour includes all your observation points across all floors and buildings allocated for that time. The locations of observation points can vary widely by assignment. Variations include having all observation points one floor of one building, observation points on many floors in one building, observations points on many floors and in many buildings, and so on. Be sure to familiarize yourself with your tour and which floors and buildings it covers. Always record observations for the allSome readers
